Late stay information

The Late Stay Request Form will be open from April 1 until Sunday, May 4 at 11:59 p.m. CST. Please fill out the form on the Housing Portal via WebSTAC. The form has all of the detailed information regarding Late Stay requests, including terms and conditions.

Students signed their housing contracts with an end date of May 8, 2024 at 11:59 a.m. All students except for those with approved Late Stays or are a graduating senior must be moved out by that time. You need to coordinate your travel plans so that you are able to depart by the deadline.

All submissions to the Late Stay Request Form are subject to approval by Residential Life. Filling out the Late Stay Request Form does not guarantee that your request will be approved.

For students who have approved Late Stay requests, $60 per night, starting the night of May 9, will be charged to their student account. This charge does not apply to graduating seniors or students who are approved to Late Stay through a WashU program (namely athletics or those with Commencement responsibilities). Any requests to stay later than the graduation deadline or the deadline set by your program would be subject to the $60 per night rate. Important: Please note, if a request is not submitted and it is found that a student has not departed by the May 9 at 11:59 a.m. deadline, that student will be charged an additional $50 for improper check-out in addition to the nightly rate.

Spring check-out information

All current residential students should plan to move out of their residential space at the close of the Spring Semester.  Please view information for how to properly check-out of your residential space.

Non-Graduating Students

  • Check out is Thursday, May 8, 2024 BEFORE 11:59 a.m.
  • Failure to leave by 11:59 a.m. without an approved Late Stay Request Form will result in a $50 fine.

Graduating Students

  • Check out is Tuesday, May 13, 2024 BEFORE 11:59 a.m.
  • Failure to leave by 11:59 a.m. without an approved Late Stay Request will result in a $50 fine.

Checking out of your residential space

How to Check-out of your Room: Check-out now occurs electronically. There is no in-person option for check-out with a ResLife staff member.

Be sure to complete the following steps in chronological order:

    1. Complete the checklist items from the flyer posted to your door or as seen on the Check-Out Form via the WashU Housing Portal.
    2. Move-out all of your items and your clean your unit. Then, return all metal keys (room/suite/building keys) to a Residential Life drop box location (the Residential Life Center at Zetcher House or the Residential Life Office located at the Village House.) Do not leave any keys with an RCD/RA. Envelopes will be available at the drop box. Non-returned metal keys will result in a charge:
      • $185.00 for non-returned metal keys
      • $60.00 for non-returned mail keys
    3. You can return your safety keycard to a dropbox located in the lobby area of your residence hall.
    4. Check-out of your space via the online Check-Out Form on the Housing Portal AFTER you have returned your keys but BEFORE you leave campus.
      • Once you complete the check-out form online, your card access will be removed, so do not do this step in advance.
      • Failure to complete this at the time of departure will result in an improper check-out charge of $50.

Note: Failure to completely move out and/or not complete the online check-out form will result in a $50 charge for an improper check-out.

Preparing your Residential Life space for check-out

  • Remove your belongings from your room, bathroom, and any common areas
  • Remove all trash and recycling from room and dispose in designated waste areas
  • Remove all stickers, tape and decorations from walls, doors and/or ceiling
  • Return public furniture to their appropriate areas
  • Clean room, reassemble all furniture, move to original position
  • Lower beds to 24 inches from bottom of the bed frame to floor
  • Close and lock (if applicable) the windows and door upon final exit
  • If you received a coaxial cable from STS, return to STS. Unwanted electronics may also be recycled at STS
  • A minimum of $50 will be charged for damage, trash, or belongings remaining in the room
  • Clean any WashU owned appliances but DO NOT unplug.
  • Take WashU student ID home. Do not turn it in with room key card.

Improper check-out

  1. Do not fill out the online check-out form of your space until all items are removed from your room and you have returned your keys.
    1. Failure to complete your online check-out at the time of your check-out will result in an improper check-out and a $50 fine.
  2. Failure to be moved out by 11:59 a.m. on Thursday, May 9 without a previous submitted Late Stay Request will result in an improper check-out and a $50 fine.

Students living in fraternity housing

Review the check-out procedures in the above drop down “Checking Out of Your Residential Space”. Fraternity Members living in Fraternity Housing managed by Residential Life must adhere to the dates and procedures outlined above. Please contact Zachary Littrell if you have any questions.

Returning your room key

Students are required to return their metal room key if leaving the university in one of the two drop box locations listed below. Leaving your key under someone’s door is not allowed. Do not leave with an RCD/RA or friend. Envelopes will be available at the drop box. Non-returned hard keys will result in a charge:

  • $185.00 for non-returned metal room keys
  • $60.00 for non-returned metal mailbox keys

Do not return your Student ID. Please take that home with you to use for the next academic year.

24-hour quiet hour policy

  • 24-Hour Quiet Hours begin at 11:00 p.m. on Sunday, April 27.
  • Please be respectful of others! This applies to student rooms as well as common areas. Contact your RA if you need assistance in addressing a noise concern.

Late Stay Request & Summer Housing Information (residents only)

Summer housing information

  • If you are seeking Summer Housing for summer school, internship, or research, please find information here. Summer Housing is led by the Summer Conferences office.
  • Approved for Summer Housing and need a place to stay until you transition:
    • If you are approved for Summer Housing by the Summer Conferences office and are in need of a Late Stay in between the close of residence halls and the start of your Summer Housing, you can request a Late Stay through Residential Life. You must be a current Residential Life student and approved by Summer Conferences to request a Late Stay. There will be a $60 per night charge during your interim period.

Important Information to note:

  • If approved for a Late Stay, you may be asked to move to a temporary space.
  • Storage is NOT available on campus.

Summer bike registration (summer residents only)

Only summer residents will be allowed to leave their bike over the summer. As a summer resident, you must register with Residential Life. You can register your bike In-Person in the South 40 Res Life Office starting Monday, April 28.

  • You will be given a tag that you must display on the handle bars of your bike. If the tag is not displayed, your bike will be removed.
  • Beginning June 2 all others will be removed. We encourage you take your bikes home so that they are not removed.

Additional information

Quiet hours

24-Hour Quiet Hours begin when reading week/finals begins and will remain in effect until the Residence Halls close for the semester. There will be a $50 fine for all violations. Please review the academic calendar for the dates of reading week/finals.

Health and safety inspections

Residential Life staff as well as maintenance staff will conduct routine facilities and safety checks, also known as Health and Safety checks. Each Residential College Director will inspect each room in their college for damage, missing furniture, etc. during the Winter Break. Additionally, staff will be triple checking that you have completed the Winter Checklist items communicated to you via website, poster, WashU Housing Portal and Res Life reporter (also shown below).

Students living in chapter facility housing

Review the check-out procedures in the above drop down “Moving-out of Your Residential Space”. Fraternity Members living in Chapter Facility Housing managed by Residential Life must adhere to the dates and procedures outlined above. Please contact Campus Life if you have any questions.

Appealing damages

Residential Life reviews all residential spaces following the close of residence halls. Common damages include:

  • Trash left in rooms
  • Holes in the walls
  • Missing screens
  • Not removing stickers, tape and decorations from walls
  • Having public area furniture in a bedroom
  • Damage above normal wear and tear that requires painting each wall
  • Remaining personal items
  • Required cleaning above regular procedure

Please play close attention to your email following Spring closing in the event that you are sent an email about damage charges.

The deadline to appeal any damages received from your RCD will be within the email communication you receive.
